AI quota explained

How the monthly AI quota works, how to see what's left, what happens when you run out, and which features actually count against it.

The AI quota is a monthly budget for the one feature in FreelancerFlow that actually calls a language model: AI Fill Tasks. Other features marketed with the word "AI" — pricing suggestions in the quote builder, prioritization in the Money tab — are rule-based and never touch the quota.

The numbers

PlanAI Fill Tasks per month
Trial (7 days)20
ProUnlimited for normal use (a fair-use safeguard only applies to automated or scripted use)
Account in read-only mode0 — AI Fill Tasks is gated until you start a trial or subscribe to Pro

A "call" is one generation. If you regenerate, that counts as another call.

The quota resets on the first of every calendar month, computed against your device's local calendar (the app tells the server which timezone you're in). So your fresh allocation appears at midnight your local time, not at midnight UTC.

A note on the Pro cap

Pro has no practical cap: most people generate the task tree once or twice per project, so a Pro subscriber typically uses well under ten calls per month. A fair-use safeguard exists only to stop automated or scripted use of the endpoint; if it ever triggers for you, talk to us and we'll work it out.

A note on read-only mode

If your 7-day trial ends without converting to Pro, your account moves to read-only mode. Your data stays viewable, but AI Fill Tasks (and other write operations like creating new clients, projects, tasks, quotes, or invoices) require an active Pro subscription. Subscribing again restores AI Fill Tasks immediately.

Where to see what's left

A small chip next to the Generate button on the AI Fill Tasks screen always shows the current state of your AI quota — for example "5 days left · 14/20 AI" during the trial, or "Unlimited AI generations" on Pro. The chip updates on every successful generation; there is no separate quota dashboard.

What happens when you run out

The next Generate tap returns a "Quota exceeded" error. Existing tasks are unaffected — you can still add and edit tasks by hand for the rest of the month. The quota resets automatically on the 1st.

What does NOT count against the quota

  • Quote builder AI pricing suggestions. Rule-based — pure heuristics on project type, budget, and your hourly rate. No model call.
  • Money tab "Chase this first" prioritization. Rule-based ranking of overdue, due-soon, unpaid, draft, and accepted-but-uninvoiced items.
  • Home dashboard complexity / risk hints. Computed from your task and project counts, not a model.

We call out which features use real AI and which are rule-based because it changes how much to trust the output. The rule-based features are deterministic — same inputs, same answer.

Costs

You pay one flat subscription fee. The AI quota is included in Pro; nothing is charged per call. There are no top-ups and nothing to buy per call; Pro is unlimited for normal use.

Troubleshooting

  • Quota chip looks stale. The chip refreshes after every successful AI generation. If it's lagging, generate one more task — the next response from the server resyncs the chip.
  • Got "Quota exceeded" on the first call of the month. A previous month's overage can briefly show on the 1st before the reset job runs. Wait a few minutes and try again.
  • Trial expired mid-month. Trial gets 20 calls, Pro is unlimited for normal use — they don't share the same counter. If you let the trial expire without converting, AI Fill Tasks stops because the feature requires an active subscription, not because the quota is empty. Your unused trial calls do not carry over. Subscribe to Pro to resume.
