Creating an invoice from scratch

Issue an invoice without going through a quote first — useful for retainers, change orders and one-off charges. Same line-item form as quotes.

Before you start

Most invoices in FreelancerFlow come from an accepted quote (see Quote-to-invoice conversion). But sometimes you need to invoice without a quote — recurring retainers, change orders mid-project, one-off charges. This article covers that path.

Goal: by the end of this you'll have created a saved invoice in Draft, ready to send.

Prerequisites

Step 1: Open the project

From the Projects tab, tap the project. The detail screen shows the Invoices section near the bottom.

Step 2: Tap New invoice

The button is in the Invoices section header. The New invoice form opens, pre-filled with the project's client and currency.

Step 3: Choose the source

The form has a source picker at the top:

  • Manual — start from scratch. Default for this flow.
  • From quote — picks an accepted quote and pre-fills the line items. Same outcome as the Convert-to-invoice flow on the quote.
  • From project — pre-fills using the project's budget as a single line item. Handy for one-line invoices.

For this walkthrough, leave it on Manual.

Step 4: Fill in the header

  • Title — what the invoice is for.
  • Issue date — defaults to today.
  • Due date — defaults to today plus your Profile → Payment terms (Net 14 by default).

Step 5: Add line items

Same form as the quote builder: description, quantity, unit price. The line total auto-computes. See Line items, discounts and tax for the maths.

Step 6: (Optional) Discount and tax

Same discount (fixed or percentage) and tax (0%, 10%, 18%, 20%, or custom) options as the quote builder.

Step 7: Save

Tap Save. The invoice lands in the project's Invoices section with status Draft.

Sending the invoice

Open the invoice detail, tap Send (or Preview first), share the PDF through the iOS share sheet. After sharing, flip the status to Sent from the same screen.

Invoice statuses

StatusMeaning
DraftYou're still working on it.
SentThe client has it.
PaidThe full amount has been recorded as paid.
OverduePast the due date with a non-zero remaining balance. Auto-computed.
CancelledYou called it off. Excluded from Money tab totals.

Overdue is special — you don't set it manually. The app computes it as due date is in the past AND remaining balance is non-zero. Marking the invoice Paid clears the overdue state automatically.

Troubleshooting

  • Wrong client on the invoice. Open Edit and change the client. The project doesn't move — only the invoice's billing-to information.
  • Need to invoice a non-project client. Every invoice attaches to a project. Create a placeholder project (e.g. "General — Acme Co") and use it as the invoice's home.
  • Numbering looks weird. Invoice numbers are sequential across your account. If you skipped numbers (e.g. by deleting drafts), the sequence reflects that.
