Once a client accepts a quote, you don't have to retype the line items into a new invoice. Convert the quote and the invoice inherits everything — same line items, same totals, same currency.
Goal: by the end of this you'll have one invoice generated from an accepted quote, with status Draft, ready to send.
Prerequisites
- A quote with status Accepted. The convert button is hidden until the quote is in that state. See Quote builder basics for how to set the status.
Step 1: Open the accepted quote
From the project detail or the quote detail, find the quote and tap into it.
Step 2: Tap Convert to invoice
On an Accepted quote, a Convert to invoice CTA appears above the line items. Tap it.
Step 3: Confirm
A confirmation sheet asks for an issue date and a due date. The issue date defaults to today; the due date defaults to today plus your default payment terms from Profile (Net 14 unless you changed it).
Tap Create invoice.
What carries over
- All line items with quantities and unit prices.
- The discount (fixed or percentage, same as the quote).
- The tax rate.
- The total.
- The client and the project.
- The currency.
What doesn't carry over
- The status — the new invoice starts at Draft.
- The quote's notes — invoice notes are separate.
- The quote's title — the invoice gets a fresh invoice number.
Idempotency
You can convert the same quote only once. After conversion, the quote detail shows a banner with the invoice number, and the Convert to invoice button is replaced with View invoice. Re-tapping a previously converted quote does not create a second invoice; it jumps you to the existing one.
If the original invoice was a mistake and you want to start over, delete the invoice first (from the invoice detail → Edit → Delete). The quote becomes convertible again.
Troubleshooting
- Convert button doesn't show. The quote isn't Accepted. Set the status to Accepted first.
- Says "already converted." Check the project's Invoices section — there's already an invoice for this quote. The banner on the quote detail also links to it.
- Wrong due date. Default comes from Profile → Payment terms. Change it on the conversion sheet, or open the new invoice and edit its due date directly.
- Currency mismatch error. Rare; can happen if the client's currency was changed between when the quote was issued and when you converted. The conversion uses the quote's currency, not the client's current one.
