Before you start

A quote is the document you send a client to propose a price for a piece of work. In FreelancerFlow a quote always belongs to a project, gets a PDF export, and can be converted into an invoice once accepted.

Goal: by the end of this you'll have created, saved, and sent one quote as a PDF.

Prerequisites

Step 1: Start a new quote

Open the project's detail screen and tap New quote. The quote builder opens with the project's client and currency pre-filled.

Step 2: Fill in the header

  • Title — something the client recognises ("Website redesign — phase 1").
  • Valid until — the date the quote expires. Default is 30 days from today.
  • Issue date — defaults to today.

Step 3: Add line items

Tap Add line item. Each line has:

  • Description — what you're charging for.
  • Quantity — how many units (1 for a single deliverable, hours for hourly billing).
  • Unit price — price per unit, in the quote's currency.

Total per line = quantity × unit price. Add as many lines as you need.

Step 4: (Optional) Discount and tax

The Pricing summary section shows:

  • Subtotal — sum of every line.
  • Discount — either a fixed amount or a percentage.
  • Tax — set to a preset (0%, 10%, 18%, 20%) or a custom rate.
  • Total — what the client owes.

The quote builder runs every change live, so you see the total update as you type.

Step 5: Save as draft

Tap Save. The quote saves with status Draft — it doesn't go anywhere until you share it.

Step 6: Send the PDF

From the quote detail, tap Send or Preview. Send exports a PDF and opens the iOS share sheet so you can email it, message it, or save it to Files. Preview lets you eyeball it first.

After you share, change the status to Sent with the action button at the top of the detail screen.

The five statuses

StatusMeaningSet when
DraftYou're still working on it.A new quote starts here.
SentThe client has it.Manually flip after sharing.
AcceptedThe client said yes.Manually flip when they agree.
RejectedThe client said no.Manually flip when they decline.
ExpiredPast the valid-until date and not accepted. The app moves it automatically if you haven't already set Accepted/Rejected.

Status drives the next-step prompts. Accepted shows a Convert to invoice CTA on the detail screen; Expired dims the row in the list.

Troubleshooting

  • PDF doesn't include my business info. Fill in Profile in Settings — see Setting up your profile and currency. Older PDFs aren't regenerated; export again.
  • Currency is wrong. The quote inherits from the project, which inherits from the client. Open the quote, tap Edit, change the currency.
  • Total looks off. Check the discount type — Fixed subtracts the literal amount, Percentage subtracts the percentage of the subtotal.
