The Money tab's Outstanding total isn't one number — it's a sum across five buckets, each of which represents a different kind of "this is owed to you but not yet paid." Understanding which bucket an item is in tells you what to do next.
The five buckets
| Bucket | What goes in it | Action |
|---|---|---|
| Overdue | Sent invoices past their due date with a non-zero balance. | Reminder, then escalation. |
| Due soon | Sent invoices due in the next seven days, not yet overdue. | Gentle nudge. |
| Unpaid | Sent invoices that aren't yet due. | No action needed yet. |
| Draft | Invoices saved in Draft — you haven't sent them. | Send them. |
| Accepted, not invoiced | Quotes the client said yes to but you haven't converted to an invoice. | Convert. |
The buckets are mutually exclusive — every outstanding item is in exactly one. The Money tab's Outstanding total is the sum across all five.
Why the breakdown matters
The bucket tells you the kind of follow-up an item needs:
- An Overdue invoice needs a reminder, a phone call, and eventually a stop-work-until-paid decision.
- A Due soon invoice needs a gentle nudge — "just a heads up, the invoice is due Friday."
- An Unpaid invoice needs nothing yet; it's tracking correctly.
- A Draft invoice is your fault, not theirs. Send it.
- An Accepted, not invoiced quote is also your fault. Convert it (see Quote-to-invoice conversion).
The Money tab's Chase this first section ranks buckets in roughly this order: Overdue (urgent) → Accepted-not-invoiced (easy money sitting on the table) → Unpaid (will become overdue soon) → Due soon → Draft.
Actions on each row
Tap a row in the Outstanding section to:
- Open the invoice or quote — full detail screen.
- Share reminder — opens the share sheet with a pre-written message you can edit. Mentions the amount and the days overdue. The app remembers when you last reminded for that item and dims the action for seven days after to keep you from spamming.
- Convert to invoice — only on Accepted, not invoiced rows. One tap creates the invoice (see Quote-to-invoice conversion).
What's NOT in any bucket
- Paid invoices — they show up in Earned and Recent payments, not Outstanding.
- Cancelled invoices — excluded entirely.
- Rejected or expired quotes — excluded; they no longer owe anything.
Reminder suppression
The app tracks every time you share a reminder for a specific row. After you share, the action button on that row shows "Reminder sent X hours ago" and is dimmed for seven days. This is a soft suppression — you can still tap and send if you want; the dim is just there to stop accidental double-sends.
Troubleshooting
- Item I just paid is still here. Pull-to-refresh the Money tab. The aggregation is local-first so it usually updates instantly; sync delays can cause a brief lag.
- Accepted quote not showing in the Accepted-not-invoiced bucket. Check the quote's status — it must be Accepted, not Sent.
- Overdue is overstated. Mark anything you've already collected as Paid on the invoice. If the bucket still looks wrong, check for invoices with a due date in the past that you've forgotten about.
