Every project carries a status that controls which lists it shows up in and which filters apply to it. There are three statuses today: Active, Paused, and Completed.
The three statuses
| Status | When to use it | Where it shows |
|---|---|---|
| Active | The default. Work is in progress or about to start. | Projects tab default view. Counted in Active and At Risk filters. |
| Paused | Work is on hold (client unresponsive, awaiting deposit, etc.). | Hidden by default. Visible when you turn on the Paused filter. |
| Completed | Work is delivered. May still be waiting on payment. | Hidden by default. Visible when you turn on the Completed filter. |
A Completed project does not delete itself when payment lands — that's an invoice-side concern. Mark Completed when you're done delivering, not when the money clears.
Changing the status
Open the project's detail screen, tap Edit, change Status, save.
There is no status transition rule — you can flip from any state to any other. Going Active → Completed → Active is fine if a client comes back with revisions.
What the dashboard does with each status
- Active projects count in the Active filter on the Projects tab.
- At Risk is a filter, not a status. The Projects tab marks a project At Risk when there are overdue tasks or an approaching deadline; the status itself stays Active.
- High Value is another filter, not a status, and is based on the project's budget.
- Status does not affect Money tab calculations directly; those work off invoices and payments.
Deleting a project
From the project detail, tap Edit then Delete. Deletion is a soft delete — the row is hidden but kept in the database to preserve the integrity of the quotes and invoices that reference it. You won't see it in any list after deletion.
A project with active quotes or invoices attached is blocked from deletion. Resolve the quotes (accept/reject) and invoices (mark paid/cancelled) first.
Troubleshooting
- Project I marked Completed still appears in Active. Pull-to-refresh the Projects tab. Sync should pick up the change instantly; the refresh forces a re-fetch.
- Can't delete a project. Check for unresolved quotes or invoices attached to it. The blocker message names which one.
- Status flips back after I edit. This is usually a sync conflict (you edited on another device while offline). The server timestamp wins; the more-recent change keeps the field.
