When a quote is ready, FreelancerFlow renders it to PDF and hands it off to the iOS share sheet. From there you can email it, message it, save it to Files, or hand it to any other app on your device.
Goal: by the end of this you'll know how to export, share, and (if needed) re-export a quote PDF.
Prerequisites
- A saved quote. See Quote builder basics.
- Your business profile filled in. See Setting up your profile and currency.
Step 1: Open the quote
From the project detail, tap the quote in the Quotes section. The quote detail screen shows the full breakdown.
Step 2: Tap Send (or Preview)
- Send — renders the PDF and opens the share sheet directly.
- Preview — renders the PDF and shows it in a preview screen first, with a share button in the top right. Use this when you want to eyeball the layout before sharing.
Step 3: Pick a share target
The iOS share sheet lists everything that can accept a PDF — Mail, Messages, WhatsApp, Files, AirDrop, Notes, etc. Tap the destination, finish in that app.
Step 4: Update the quote status
The app does not assume you shared the PDF just because you exported it. After you actually send it to the client, open the quote and tap the status action to mark it Sent. See Quote builder basics for the full status flow.
What's in the PDF
- Your business name and contact info (from Profile).
- The client's name and contact info.
- The quote number, title, issue date and valid-until date.
- Every line item with its quantity, unit price and line total.
- Subtotal, discount line, tax line, and total.
- Your invoice footer text from Profile (default "Thank you for your business").
What's NOT in the PDF
- Your notes on the quote (those are local-only).
- The project's internal notes.
- Sync state, statuses, or any history of changes.
- Pixel-perfect branding control — colours and layout follow the app's PDF template.
Re-exporting after an edit
A PDF is a snapshot of the quote at export time. If you edit the quote after sharing — adding a line item, changing a price — you need to re-export and resend; the previously shared PDF won't update.
Troubleshooting
- PDF preview is blank. Force-quit the app and re-open. The render uses an iOS view-to-PDF pipeline that can occasionally stall on cold start.
- Wrong currency on the PDF. The PDF shows the currency the quote was saved in. Open the quote, Edit, change the currency, save, re-export.
- Logo doesn't show. The PDF template uses the FreelancerFlow brand. Custom logos are not supported in V1.
- Looks fine in preview but the client says it's broken. Most "broken PDF" reports are about how the client's email or messaging app rendered it. Ask the client to open it in a real PDF viewer (Preview on Mac, Adobe on Windows) to confirm.
